All MDG Members are welcome to attend this Sub-committee Meeting on Feb. 19th to ask any questions and discuss the Motions
At our MDG Oct. 25th Business Meeting a motion was passed to create a sub-committee to review, edit and update the MDG Service Position Descriptions which were last updated in 2018.
Reason for the Motion: The current descriptions are outdated and not reflective of what is happening in our group. Some positions are no longer required. Some positions required updates and revisions. Some newer positions did not currently have a description on file.
The sub-committee met on Nov. 6/ Nov. 27/ Dec. 11/ Jan. 15/ Jan. 29 and reported back to the MDG Group at our Business meetings on Nov. 27, Jan. 3 and Jan. 31. Sub-committee Members: Peter K, Eric G, Jim R, Sarah P, Jeff B., Giuseppe L., Joseph S.
Objective: To review all MDG Service Positions and their respective job descriptions and report our recommendations to the Group.
The following motions represent the Sub-committee’s recommendations:
Motions:
1) The Assistant Treasurer position need not be filled but may be filled by group conscience and/or at the request of the Treasurer.
2) Assistant Treasurer Responsibilities include but are not limited to assisting the Treasurer as required and may include training for the role of Treasurer.
3) To limit access to the Group email list and Group emailing privileges to the Group Secretary. The designated back-up would be the Group Treasurer. (Group Secretary & Treasurer are the only positions that have access to the Group Email and Membership list)
4) To discontinue “Asst. Secretary” from the MDG Job Descriptions and to add “In-person Chair Liaison.”
5) That the 5/10/15+ year medallions celebrants lead the organization of their respective medallion celebrations.
6) That the In-Person Chair liaison acts as support to 5/10/15+ celebrants.
7) That the In-person Chair Liaison takes lead with one-year medallion celebrants.
8) That the Alt GSR is not required to fill the GSR position when that position becomes vacant.
9) To accept the following updated & revised MDG Service Positions Descriptions: Treasurer & Alt. Treasurer, Secretary, Librarian, Room Liaison, GSR, Alt. GSR, Int Group Rep
10) To discontinue the following MDG Service Position Descriptions: Group Auditor, Greeter Captain, Assistant Librarian, Alt. Intergroup Rep, Membership Registrar (at the end of the current term – July 2026)
11) To accept the following newly created MDG Service Position Descriptions: On-line Chair Coordinator & Online Monitor Coordinator

REVISED - MDG Service Position Descriptions as of Feb. 1/26
TREASURER
General Description
The Treasurer is responsible for ensuring the Group’s financial records are properly maintained and financial commitments are met, all fiscal responsibilities are managed in the best interests of the Group applying transparency and accountability in accordance with Group Conscience.
Term & Qualifications
Suggested sobriety requirement is 2 years. Suggested term is 2 years. Access to and use of a PC is indispensable as is working knowledge of Excel and/or Word. Proof of ID that banks accept must be available.
Responsibilities include but are not limited to:
× Read and stay current with Group Conscience as it is updated.
× Attend Business Meetings.
× Communicate with Group members as required through the Group Secretary.
× Manage Group funds per Group Conscience decisions.
× Co-ordinate cheque issuance and expense payments.
× Have mobile phone that allows the use of TD banking app
× Have credit card for payments e.g. Zoom expenses
× Coordinate with the MDG Room Liaison Officer and U of T Finance team where rent is concerned.
Ensure Group rent is accurate, and payments are proactively managed.
× Monitor all 7th Tradition contributions from In-person Chairs and all members via Interac
E-transfer.
× Maintain Excel spreadsheet detailing daily 7th Tradition intake by meeting.
× Reconciliation of bank statements.
× Make bank deposits in conjunction with collection rotations (avoid Treasurer having large amounts of
cash at his/her residence).
× Obtain current bank statement from Teller as close as possible to monthly Business Meeting.
× Prepare monthly Financial Statement for Business Meeting indicating (a) Opening Balance; (b)
Income for period (itemized by deposit, with supporting back up from each meeting); (c)
Expenses/Payments made in period (itemized by payee/amount); (d) prudent reserve; and (e) end of
period balance.
× Ensure prudent reserve is kept in bank account.
× Provide recommendations for, and, when approved by MDG at Business Meeting, submit
contributions to Intergroup, District 10, Area 83, and GSO.
× Train incoming Treasurer.
× Maintain the “Treasurer Binder” which includes all instructions, types of invoices received, and
cheques drawn, background information and the like sufficient to assist next Treasurer.
ASSISTANT TREASURER

General Description
The Assistant Treasurer position need not be filled but may be filled by group conscience and/or at the request of the Treasurer.
Term & Qualifications

ONLINE CHAIR/CO-CHAIR & MONITOR COORDINATORS
General Description
The Chair/Co-chair and Monitor Coordinators (Online) are responsible for ensuring the service positions of Chair, Cochair and Monitors are filled by qualified and trained members and for the day-to-day functioning of the Group's on-line meetings in accordance with Group Conscience.
Qualifications and Term
Suggested sobriety requirement is 1 year. This is a 1-year term. Access to and use of a PC is indispensable.
Responsibilities include but are not limited to:
x One month before the start of each new rotation coordinate announcing the upcoming new rotation and
need for volunteers.
x Continue to compile an ongoing list of interested volunteers which includes their email and phone
contact.
x Create a schedule based on experience/availability while simultaneously communicating with
the other Coordinator to avoid any scheduling conflicts as some volunteers may be doing multiple duties
and chairing/co-chairing as well as monitoring.
x Coordinate training sessions including taking volunteers through the scripts, addressing tech
responsibilities, issues/questions around cross talk, outside issues, which responsibilities fall under which
role as well as highlighting and sharing any helpful tips from experience.
x Send out schedule, currents scripts and a telephone contact list for communication and in case shift
coverage is needed.
x Maintain WhatsApp group for ease of communication.
x Assist in finding replacements should volunteer availability change during the rotation.
x Address any questions/concerns or challenges the team has throughout the rotation regarding procedure,
participant/safety concerns, Group Conscience etc.
x Attend the Business Meeting every other month and present a brief report including noting any issues of
significance that have arisen since the last report. After update the team on any matters arising from the
Business Meeting including script changes etc.
SECRETARY
For our group purpose there is but one ultimate authority - a loving God as may be expressed in our group conscience. Our leaders are but trusted servants; they do not govern.
General Description
The Secretary is charged with recording and publishing the agenda and minutes of the monthly business meetings; recording and keeping group conscience up to date; keeping service job descriptions up to date; various other administrative activities.
Qualifications and Term
Secretary should have a computer, organizational & time management skills and be available for all business meetings. Suggested sobriety requirement is 1 year. This is a 1-year term.
Responsibilities include but are not limited to:
x Read and stay current on Group Conscience and update the Group Conscience document as required after each business meeting in which decisions that have any important and lasting effects are made. Amend or remove from that document old decisions that have been changed or overridden by new decisions.
x Attend all business meetings.
x Communicate with group members as required, through group email account (bcc current member list) (including sending out the agenda for next business meeting and minutes from the last business meeting, before the next business meeting).
x Train incoming new Secretary.
x Create the agenda for next business meeting (using templates and minutes from last one).
x Record minutes of the business meeting (using templates) and type in legible format.
x Maintain an up-to-date job description of group service positions.
x Maintain a list of those holding group service positions, with names,
phone numbers and email addresses and distribute this list to service position holders.
x Maintain a list of temporary sponsors (or delegate this role to another Member).
x Maintain records/database of all business meeting agendas and minutes, service position job descriptions, group conscience, and all other relevant material used and distributed by or to the group.
x Manage and keep up to date the group email account which includes monitoring and deleting all unnecessary emails in the group email inbox, distributing the necessary emails to other service members when required.
x Monitor the group email and add or delete names on the group membership list as requested in the email.
MEDALLION CELEBRATION PROCESS
1) 5/10/15+ yr. Medallion Celebrants choose a date. (1st Saturday/3rd Sunday of month)
2) Contact MDG Secretary for announcements to be made.
3) MDG Secretary contacts In-person Liaison and On-line Coordinator for announcements to be made.
4) In-person Liaison notifies Regular Daily Chair of Medallion Celebration
5) Announcements 2-3 wks. prior to date chosen.
6) Once date is confirmed, Medallion celebrant fills out form to order medallion from Toronto Intergroup . https://www.aatoronto.org/medallion-engraving-order-form/
7) Medallion Celebrant chooses speaker and readers.
8) Cake and coffee are optional and arranged by celebrant.
*Note: In-Person Chair Liaison will lead One Year Medallion Celebrations. All other celebrants are asked to co-ordinate their respective celebrations. In-person Chair Liaison will act as a support /resource for all celebrants.
IN-PERSON CHAIR LIAISON

General Description
The In-Person Chair Liaison provides communication between the MDG Business Meeting and the 7 weekly In-person Chairs by: (a) ensuring that all new incoming Chairs are familiar with materials and procedures required to host in-person meetings b) updating scripts and announcements in the daily chair binders as per group conscience c) overseeing the transition of the in-person meeting to alternate locations when OISE is closed (i.e. Quaker House and Sidney Smith Hall)
Qualifications and Term
The In-person Chair Liaison is to attend the in-person meeting at least once a week (or designate that responsibility to another MDG member as required). Suggested sobriety requirement is 1 year. This is a 1-year term.
In-person Chair Liaison Responsibilities include:
- Read and stay current on Group Conscience.
- Attend business meetings.
- At business meetings or after, assist new Chairs with a tour of lockers (and give them the lock combinations) and explain how to Chair meetings.
- As required by changes or updates to group conscience, update Chair scripts, temporary sponsor lists, announcements, or any other group-created material in Chair binders and replace any such older material.
- Check lockers at OISE to ensure (a) Chair Scripts, Readings (12 Steps etc.), Newcomer Kits/ Desire Chips, membership forms, zip locks for collection of monies, pens etc. are organized in all Chair Binders, and (b) Chair copies of all books (Daily Reflections etc.) are organized and up to date.
- As required, communicate with In-person chairs via email.
- Leads all One Year Medallion Celebrations
- Acts as support for all 5/10/15+ Year Medallion Celebrations
- Ensure that MDG Meeting Materials such Chair Binders and Daily Readings are available at alternate locations such as Quaker House and Sidney Smith Hall when required
LIBRARIAN

General Description
The Librarian is responsible for (a) ensuring proper reading materials, pamphlets and supplies are available for all open meetings and (b) ensuring copies of all books are available for sale by updating inventories as required.
Qualifications and Term
The Librarian is available to attend Open Meetings on a regular basis (or designate that responsibility to another MDG member as required). Suggested sobriety requirement for each is 1 year. Each is a 1-year term.
Librarian Responsibilities include:
- Read and stay current on Group Conscience.
- Attend business meetings.
- At least monthly check copies of all books for sale (6 copies of each in stock), extra copies of Newcomer Kits and GTA meeting books (12 copies of each).
- At least monthly check that sufficient materials (AA chips, cake supplies such as plates, forks & napkins) are available for open/medallion meetings.
- Order books, Newcomer Kits, GTA meeting books, AA chips as required. Buy cake supplies (plates, forks & napkins) as required.
- Attend all group Open/Medallion Meetings to ensure (a) books for sale and pamphlets are displayed, and (b) materials in Second Locker (Open Meeting Chair Binder, AA chips & cake supplies) are available.
GENERAL SERVICE REP (GSR) AND ALTERNATE GSR

General Description
The GSR attends District 10 meetings and Area 83 assemblies, and liaises with GSO, and takes group concerns to each and reports back from each to the group.
Qualifications and Term
GSR (and Alternate) must have time available for District meetings, Area assemblies, and to conduct other related service commitments. Suggested sobriety requirement is 2 years for GSR, 1 year for Alternate GSR. This is a 2-year term for each.
Responsibilities
- Read and stay current on Group Conscience as it is updated.
- Attend business meetings.
- Communicate with group members as required, through the Group Secretary or announced at Meetings
- Train incoming new GSR.
- Attend District 10 service committee meetings monthly and attend Area Assembly twice a year in Spring and Fall (financial support is available for Area Assembly attendance and other group-approved expenses).
- On Behalf of the Group, sign up for Service Meeting commitments as appropriate,communicate these commitments to the group members, and coordinate covering the commitments.
- Serve as the mail contact with the General Service Office and is listed in the AA directory as the group’s contact person.
- Serve as mail contact for the District Committee and Area Committee.
- Provide reports (on what is happening at District, Area, and GSO as relevant to the group) to business meeting every second month and whenever deemed necessary.
- Provide input from the group (based on group conscience) to each of District, Area and GSO (as relevant to each).
- Learn about the Twelve Concepts and become familiar with the AA Service Manual.
- Alternate GSR works with the GSR during their term of service; assumes responsibility of the GSR in the GSR’s absence for voting at District meetings and Area Assemblies (with the same voting privileges) but may not serve on the Executive Committee.
INTERGROUP REP

General Description
The Intergroup Rep attends Toronto Intergroup monthly meetings, and takes group concerns to Intergroup and reports back from Intergroup to the group.
Qualifications and Term
The Intergroup Rep needs to have time to attend Intergroup meetings and to carry out related commitments. Suggested sobriety requirement is 2 years for Intergroup Rep. This is a 2 year term.
Responsibilities
- Read and stay current on Group Conscience as it is updated.
- Attend business meetings.
- Train incoming new Intergroup Rep.
- Attend regular monthly meetings of GTA Intergroup.
- Keep group advised of the work of the Executive Committee and GTA Intergroup.
- Report to business meeting every second month and whenever deemed necessary.
- Represent and communicate group’s group conscience at GTA Intergroup, make such recommendations as Rep deems proper for the consideration of and action by the
Executive Committee.
- Speak at GTA Intergroup meetings as the representative of the group, move/second and vote on motions before Intergroup, to nominate candidates for the Executive Committee, consider standing for election to the Executive Committee or other committees.
ROOM LIAISON

General Description
The Room Liaison manages our relationship with the OISE building and the University of Toronto; secures rooms in the OISE building, and elsewhere as required, for all in-person meetings of the group and the monthly business meetings; conveys room information to members; and monitors the suitability and comfort of the rooms, implementing changes as necessary.
Qualifications and Term
Access to a computer and computer skills (email, online PDF forms) are required. Suggested sobriety requirement is 2 years. This is a 2-year term.
Responsibilities include:
- Manage relations between AA and OISE building and University of Toronto
- Sign contract for each meeting
- Receive Invoice from University Finance for monthly rent and review for accuracy
- Communicate monthly with Treasurer re: invoice & receipt for monthly rent
- Read and stay current on Group Conscience as it is updated.
- Attend business meetings.
- Secure rooms on a “term” basis in OISE (generally, fall, winter and summer to correspond with academic year) and elsewhere when OISE building closed (such as over the Xmas holidays) for all in-person meetings per week plus the monthly business meetings. Rooms bookings are requested from OISE months in advance of each term, by email using a form.
- Convey room booking information to group members as it becomes available (at least once a term), including ensuring that announcements of OISE closures are made to group.
- ensure the accuracy of meeting listings on the Intergroup website (aatoronto.org) as well as the MDG website
- Monitor the suitability, security and comfort of rooms and work with OISE to make changes as necessary. - Communicate with group members as required.
- Train incoming new Room Liaison.
